Rate – Up to £25.00 per hour Umbrella (INSIDE IR35)

Contract Length – Initial 6 month contract

Hours per week – Part Time – 16-20 hours per week (Monday to Thursday)
Location – Hybrid / Flexible Working but office is based in Gloucester
Purpose of Role
Assist in providing an efficient and effective HR admin support service to SES
A first point of contact for general HR & training enquiries and administering the day to day processes and procedures key in this role.
Key Duties and Responsibilities
- Update and maintain Core HR within SELIA database
- Update LMS/TMS for training within SELIA
- Liaise with Tier 1 to book Safran University training
- Work with HR manager to organise local training courses
- Update Timetastic holiday booking system
- Track Absences and ensure RTW forms are returned
- Photocopying, scanning, filing, printing and collating documents in line with the company procedure.
- Assist in Payroll and benefit administration tasks.
- Ensure all overseas VISA documentation is compliant – update and maintain Sponsorship Management System (SMS)
- Become proficient with all HR systems and act as first point of contact for queries on these from employees and managers.
- Understanding the Microsoft Office system to be able to produce presentations, spreadsheets and word documents, including assisting with the editing of both departmental and external newsletters.
- Carryout administrative duties to support HR, including note-taking for meetings, verifying documentation, filing, creating reports, mail merges, sending of correspondence.
- Ensure all employee and training files/systems are complete and up to date.
- Support general HR administration on activities such as leavers, transfers, contracts and maternity and paternity leave.
- Take a pivotal role in administrative projects.
- Attend meetings at other locations as required
- Undertake any other duties as reasonably required within your competency.
- Adhere to all Group policies and procedures.
- Undertake any training and development activities at the request of your line manager.
- Take care of your own safety and the safety of others at all times by complying with the Health & Safety Policy at all times.
- Perform job responsibilities to the level identified in Internal Control procedures, policies and standards. Maintain an understanding of internal control standards. Represent the company in a professional manner at all times.
Experience/Skills
Essential
- Demonstrable experience of working in a demanding administration role.
- Proficient with Microsoft Package (in particular: Word, Powerpoint, Email & Excel).
- Experience of working with a multitude of stakeholders at various levels.
- Able to adapt to a role that will evolve and contribute to the development of the role.
- Ability to work in a professional and confidential manner.
- Excellent communication skills and willing to provide an excellent standard of customer service.
- Ability to multitask, as the role includes daily task variety and the need to adapt to task presented.
- Able to self-manage delegated tasks.
Desirable
- Previous experience within a dynamic, responsive, fast paced team.
- Previous experience working within a recruitment, HR or L&D Admin role.
Qualifications
Essential
- NVQ3 in Administration, or equivalent.
- 5 GCSE’s (or equivalent) at Grade C or above.
Desirable
- 3 A-Levels (or equivalent)
- CIPD Level 3.
